AI receptionist in India: the complete guide
Not a global product with a rupee price tag on it.
Most voice AI is built for American phone habits and then translated. The differences that matter here are mundane and practical: callers switch between Hindi and English inside a sentence, forwarding is a *21* code on a mobile rather than a carrier portal, buyers want a rupee figure rather than credits, and outbound calling has TRAI obligations attached.

At a glance
| How FrontivaAI handles it | Why it matters here | |
|---|---|---|
| Language | English, Hindi, Telugu, Tamil, Kannada, Malayalam, Marathi and Bengali - switching mid-sentence | Code-switching is how people actually speak on the phone |
| Getting your calls | Forward with *21* on the handset, #21# to stop | Works on Indian mobile networks without a carrier ticket |
| Pricing | Rs 7,000/month including 1,000 minutes | A number you can compare, not credits |
| Confirmations | WhatsApp, with a Google Maps pin | WhatsApp is the default channel here |
| Data residency | AWS Mumbai (ap-south-1) by default | DPDP alignment and latency |
| Outbound calling | Consent and disclosure requirements respected | TRAI and DND obligations are real |
| Working hours | Your own hours, lunch and weekly off | A six-day week with a Sunday off is normal |
The language question, answered honestly
It handles English, Hindi, Telugu, Tamil, Kannada, Malayalam, Marathi and Bengali, including Hinglish code-switching mid-call, with Indian accents. It does not handle Gujarati or Punjabi. If most of your callers use one of those, this is not the right product for you today and we would rather tell you now than after you have paid.
Where it is already running
A dental clinic in Hyderabad runs its patient line on it and takes real calls today - that is the deployment we name, because it is the one we can evidence. Everywhere else, the proof we offer is the demo number and a test on your own line before you pay. Same product wherever it runs; what changes is the services, prices, hours and staff loaded into it.
What Indian buyers ask first
Three things, always.
- Will callers know it is a machine? Some do; if they ask, it says so and offers to transfer.
- Does it work on my existing number? Yes - you forward it and keep advertising the old one.
- What if it says something wrong? It can only speak from your services, prices and hours; there is nothing else for it to say.
What an AI receptionist is, in plain terms
It is software that answers your business phone the way a good receptionist would: it picks up on the first ring, listens to what the caller wants in whatever language they use, and either finishes the job or fetches a person. 'Finishes the job' means real things - booking a slot into the calendar your team uses, moving or cancelling one, quoting a price from your list, saying when you are open and where you are, sending a WhatsApp confirmation with your Maps pin. It is not an IVR: there is no menu and nothing to press. It is not a chatbot: it is on the telephone line, and it holds the conversation by voice. And it is not a call centre: nobody is listening in; it is the product answering, and you read the transcript afterwards.
How it takes over your existing number
Nothing is ported and nothing is reprinted. You keep the number on your signage, your Google listing and your visiting cards, and you forward it - on every Indian mobile and landline operator, conditional forwarding is a handset setting or a *21* code. You choose which calls go: only the ones that ring out, only the ones after closing, or everything. Turn it off and your phone behaves exactly as before. Most businesses start with forwarding on no-answer, so the desk keeps answering what it can and the agent takes what would have been lost.

What happens on a typical call
The sequence is the same for a dental clinic in Kondapur and a coaching institute in Rohini, which is the point of it.
- The call is answered in under a second, on your number, at any hour, with an opening line that names your business and the languages it speaks
- The caller says what they want - in English, Hindi, Telugu, Tamil or a mix - and the agent follows from the first full sentence
- It checks your live hours, staff availability and calendar, and books, moves or cancels the appointment during the call
- Questions about prices, location, timings and services are answered from what you have written, and only that
- Anything urgent, anything personal, and anyone who asks for a person is transferred to the number you nominate
- The caller gets a WhatsApp confirmation with your Google Maps pin; you get a transcript, a summary and the outcome on your dashboard

What it costs, and how to size a plan
Rs 7,000 a month including 1,000 connected voice minutes, then Rs 7 a minute; Rs 70,000 a year if paid annually, which is two months free. There is no per-call charge and no setup fee. To size it, count last month's answered and missed calls and multiply by your average call length - for most clinics and salons that lands well inside the included minutes, and a business that genuinely uses more is a business the agent is paying for. Enterprise plans exist for higher volumes and deeper integrations, priced on request.

WhatsApp, calendars and the dashboard
Three things Indian businesses ask about after the price. WhatsApp: every booking is confirmed on WhatsApp with your Maps pin, and reminders go out before the visit, using a template that lets the message arrive even if the customer has never written to you. Calendars: bookings go into Google Calendar or the shared calendar in the dashboard, so your desk and the agent never double-book; other systems are reached through webhooks, n8n or Zapier rather than native connectors. The dashboard: every call with a transcript, a summary and what the caller wanted; the appointment list; missed calls to ring back; the staff, hours, holidays and knowledge the agent works from; and a live view where you can take a call over from it.

How to shortlist an AI receptionist in India
We are one of the vendors you would be comparing, so a ranking from us is worth what you would expect. What we can give you is the list of questions that separates a product that demos well from one that survives a Monday morning - and our own answers are on this site.
- Does it hold a full booking conversation in Hindi, Telugu or Tamil, and follow a caller who switches mid-sentence - or does it 'support' the language?
- Does it book into the calendar your desk actually uses, or into its own?
- Can it quote your prices and refuse to quote anything else?
- What exactly does it do with an emergency, a distressed caller, or a language it does not speak?
- Does it work with the number you already have, by forwarding, without porting?
- Is the price a rupee figure that includes minutes, or credits?
- Do you get a transcript of every call, and where is the data held?
- Can you call it right now, on a real number, without a sales call first?

When not to buy it
If most of your callers speak Gujarati or Punjabi, it is the wrong product today. If every call needs a judgement - distressed callers, negotiation, a diagnosis - a trained person on the line is worth more than software, and you should keep one. If you need it to route to departmental extensions or write into a hospital or hotel management system, it does not do that yet. And if your line takes a handful of calls a week, the maths may not work: count them first. We would rather lose the sale than have you fail calls.
City by city
The product is the same in every city; what changes is which languages matter and where we can come to you in person.

What changes for your team
Less than people fear and more than they expect. The front desk stops competing with the phone and keeps the caller in front of them; the owner stops being the after-hours answering service; the person who used to write down messages reads transcripts instead, and rings back the callers the agent flagged. One job appears: keeping the agent's facts current - hours, holidays, prices, who is in today - which takes minutes and is the same work that keeps a human receptionist accurate. The dashboard's missed-calls list is usually the first thing a team looks at, because it is the first time anyone has seen how many there were.
A short glossary
The words that come up in every conversation about this, in plain terms.
- IVR: the 'press 1 for…' menu. An AI receptionist has none; the caller just talks
- Call forwarding: a setting on your number that sends calls elsewhere on busy, no-answer, or always. Conditional forwarding is the usual starting point
- Porting: moving your number to another operator. Not involved here; you keep your operator and forward
- Hinglish and code-switching: Hindi and English mixed inside one sentence, the normal Indian phone register; the agent follows it
- Transcript: the written record of the call, which is what you get on the dashboard instead of an audio recording
- WhatsApp template: a pre-approved message format that lets a business message a customer who has not written first; confirmations use one
- DND and TRAI: the do-not-disturb registry and the regulator whose rules govern outbound calling in India; inbound answering is unaffected
- DPDP Act: India's data protection law; the setup is aligned with it and data is held in AWS Mumbai
- Concurrent calls: how many callers the line can hold conversations with at once - four here
Data, privacy and the DPDP Act
Calls are transcribed, not stored as audio for your dashboard. Data is held in AWS Mumbai, encrypted in transit and at rest, with role-based access and audit trails, and the setup is aligned with the Digital Personal Data Protection Act. The agent does not discuss anything personal with somebody who is not the customer, and it does not retain more than the appointment needs. The security page has the retention periods and the sub-processor list.

Getting started
About three days. Day 0 we load your services, prices, hours, staff and address. Day 1 your number is provisioned and WhatsApp connected. Day 2 we test together and hand over your dashboard logins. No hardware and no developer.
Every city we have written up
Each page is specific rather than a template with the name swapped: the localities your callers ring from, the languages they actually use, the operator code for that circle, and an honest note on any language we cannot hold a conversation in. If your city is not listed the product still works - these pages exist because the local detail is worth writing down, not because we only sell in twenty-one places.

Frequently asked questions
Does it speak Hindi properly?
Yes, including Hinglish code-switching mid-call. It follows the caller rather than forcing a language.
Which Indian languages are not supported?
Gujarati and Punjabi. The agent handles English, Hindi, Telugu, Tamil, Kannada, Malayalam, Marathi and Bengali today.
Do I need a new SIM or a landline?
Neither. You forward your existing number with *21* on the handset.
Is my data kept in India?
AWS Mumbai (ap-south-1) by default, encrypted in transit and at rest.
Is outbound calling allowed?
Yes, with the consent and disclosure requirements that TRAI expects. We will not help you run an unregistered spam campaign.
What does it cost in rupees?
Rs 7,000 a month including 1,000 connected minutes, then Rs 7 a minute. Rs 70,000 a year if paid annually.
Will callers know they are talking to a machine?
Some do. If they ask, it says so plainly and offers to transfer. It does not pretend to be a person.
Can it take more than one call at a time?
Yes - up to four simultaneous calls on one line, each a separate conversation.
What if it does not understand a caller?
It asks again, once or twice, in the caller's language. If it still cannot follow, it says so and transfers to your team rather than guessing.
Does it work with my existing calendar?
Google Calendar directly, or the shared calendar in the dashboard. Other systems through webhooks, n8n or Zapier.
How long does it take to go live?
About three days: services, prices, hours and staff on day 0; number and WhatsApp on day 1; live testing and hand-over on day 2.
Can I try it before I pay?
Ask for a test number on our contact form, then call it and behave like a customer. Then we set up a sample agent for your business on a demo. You pay only when it goes live on your number.
Ask for a test number, or book a demo.
If this sounds familiar
- We keep missing calls - what is that costing?
