What a Missed Call Actually Costs an Indian Business

Almost every business underestimates this, because the calls you miss are the only ones that leave no trace on your phone. Here is how to get the actual number.

The calls you cannot see

Your phone shows you missed calls. It does not show you the caller who got an engaged tone because you were already talking, and it does not show you the person who rang at 8:40 pm, heard it ring out, and called the next clinic on the list.

Those are the expensive ones, and they are invisible by design. Which is why almost every owner we have asked guesses low - usually by a factor of two or three.

The fix is not a feeling, it is a record.

Getting the actual number

Ask your operator for a call detail record for last month. Jio, Airtel and Vi all provide one, usually through the app, the self-care portal, or on request to customer care. It is free and it arrives as a spreadsheet or PDF.

Then count three things separately, because they have different fixes:

If you run a Google Business Profile, cross-check it: the calls-from-listing figure gives you a second read on inbound volume, and it will usually be lower than your CDR because not everyone finds you that way.

Turning calls into rupees

Now the arithmetic, which takes two more figures you already know.

What is a converted caller worth? Use margin rather than revenue, and count the repeat business. A dental patient who becomes a regular is worth far more than the first consultation. A salon client on a monthly cycle is worth a year of visits. A site visit that closes is a different order of magnitude again.

What share of your enquiries convert? If you do not track this, most single-location service businesses land somewhere between one in four and one in ten for cold enquiries.

Then: missed calls x conversion rate x value per customer. A clinic missing forty calls a month, converting one in five, at eight thousand rupees of margin per patient, is losing somewhere around sixty-four thousand rupees a month of opportunity. Even if that estimate is twice too generous, it is not a rounding error.

Do this on your own numbers rather than ours. The exercise is worth more than the conclusion.

Why they do not call back

The assumption behind ignoring missed calls is that a serious customer will try again. Some do. The ones who do not are the ones you needed.

A person ringing a clinic about a painful tooth, or a salon about Saturday, or an estate agent about a listing they just saw, is at the peak of their intent in that moment. They have three more numbers from the same search results. Ringing back tomorrow is a worse experience than ringing someone else now, and they know it.

There is also a quieter cost. A caller who gets an engaged tone learns something about how busy you are and how hard you are to reach, and that impression survives the eventual callback.

What you can do about it, in order of cost

Cheapest first, because the expensive answer is not always the right one.

Free: set conditional call forwarding. Three handset codes send only the calls you miss to a second phone - **61* for unanswered, **67* for busy, **62* for unreachable. If you have a colleague who can pick up, this costs nothing and solves part of it.

Cheap: fix the busy-tone problem. If most of your loss is engaged tones rather than after-hours calls, a second line or a hunting arrangement from your operator may be the whole answer.

Per call: an answering service. A human takes a message and passes it on. Solves "nobody answered"; does not solve "the enquiry did not become an appointment", because somebody still has to ring back.

Flat monthly: software that answers. Picks up on the first ring at any hour, answers the routine questions from your own information, books into your calendar during the call, and leaves you a transcript. Worth it when your missed-call value comfortably exceeds the monthly fee and your calls are mostly repetitive.

And the honest option: do nothing. If the arithmetic above produced a small number - you answer nearly everything, your after-hours volume is negligible - then this is not your bottleneck. Spend the money on whatever is.
