AI Receptionist for Dental Clinics
The patient who cannot reach you calls the next clinic
FrontivaAI answers your clinic phone on the first ring - at 10 pm, on Sunday, during lunch, and while your front desk is already on another call. It books the patient into your real calendar, quotes only the treatment prices you entered, confirms on WhatsApp with your Google Maps pin, and puts every call on one screen with a full written transcript.
Why these calls get lost today
- Calls arrive after hours and on Sunday, when nobody is at the desk
- The line is busy while your receptionist is mid-payment or mid-chair
- Voicemail does not work - most callers simply dial the next clinic
- Patients search 'dentist near me' and tap Call on the first result only
- No-shows, because a booking made on the phone is never confirmed in writing
What happens on a call
- Taps Call at 10:40 pm with a cracked tooth - Answered on the first ring. Treated as urgent, offered the earliest genuine slot, and put through to your mobile if it cannot wait until morning.
- Wants 'sometime tomorrow afternoon' - Reads your live hours and chair capacity and offers only times you can honour. It never invents a slot and never double-books a chair.
- Asks what a root canal costs - Quotes from the price list you entered. If a treatment is not on your list it says so rather than guessing - it cannot invent a price.
- Starts in English, switches to Hindi - Follows in the same voice and stays in Hindi for the rest of the call.
- Rings while your front desk is busy - Still answered. Your receptionist is not interrupted and the caller is not put on hold.
- Asks for a specific dentist by name - It takes the slot; your desk assigns the doctor. A request for a named person is passed to your team rather than promised.
- Wants to move or cancel - Finds the appointment by their number and moves it - one appointment afterwards, never two. The freed chair goes straight back on offer.
- Hangs up - WhatsApp confirmation with your Maps pin, then a reminder before the appointment. Fewer people arrive at the wrong time, or not at all.
How it works
- The phone is answered - In under a second, 24x7, on your own clinic number - no IVR menu and no hold music.
- The AI understands the patient - Natural conversation. It asks one thing at a time instead of interrogating the caller.
- It books, moves or routes - Into your live calendar, with a doctor assigned automatically, or transferred to you if it is urgent.
- Everyone is told - WhatsApp confirmation to the patient, the booking on your dashboard, a reminder before the visit.
What you see on your screen
- Calendar - today at a glance, by doctor and by chair.
- Appointments - every booking in one list, whether the AI, your front desk or a walk-in created it.
- Patients - who called and what they booked. Returning patients are recognised by their number.
- Calls - every call with a full written transcript, summary and sentiment.
- Front desk - your team books here, and those slots vanish from what the AI offers immediately.
- Hours and staff - opening hours, lunch, days off, which doctors are in.
- What the AI knows - your treatments, prices and address. Nothing outside this is ever said to a patient.
- Minutes and quality - how many minutes you have used, and how every call scored.
What changes, for whom
- For the practice owner - You stop paying for missed calls. Every recovered root canal or implant is money that was walking to the clinic next door.
- For the front desk - The phone stops interrupting chairside work. The AI takes the routine bookings; your team handles the people in front of them.
- For the dentists - No phone during a procedure, and no double-booked chair.
- For patients - Somebody picks up at 10 pm, and the confirmation arrives on WhatsApp with directions.
What it costs
₹7,000 a month including 1,000 voice minutes, then ₹7 a minute.
Or ₹70,000 a year, two months free. No setup fee, no lock-in.
What it does not do
- It speaks English and Hindi, not Telugu or Tamil - a patient who speaks neither needs your front desk.
- It cannot book a named dentist. It takes the slot; your desk assigns the doctor.
- No clinical advice, and it never diagnoses over the phone.
- Calls are transcribed, not recorded - you get the written text of every call.
- It does not connect to practice-management software. The calendar and patient list live in the dashboard we give you.
Frequently asked questions
Can an AI receptionist really book dental appointments?
Yes. It checks your live calendar and chair capacity during the call, books the slot, assigns a doctor and sends a WhatsApp confirmation. It cannot double-book, because the slot is locked by the system rather than by the AI.
Will patients know they are talking to an AI?
Many do not notice. We do not pretend otherwise - if a caller asks, the agent says it is an AI assistant and offers to transfer to your team.
Do I have to change my clinic number?
No. You keep the number on your board, your Google listing and your Practo profile. You forward it to your FrontivaAI number by dialling *21* then the number then # - about a minute, and #21# turns it off.
What does it cost?
Rs 7,000 a month including 1,000 voice minutes, then Rs 7 a minute. One recovered root canal usually covers the month.
Can it quote treatment prices?
Only the prices you enter. If a treatment is not on your list, it says a colleague will confirm rather than inventing a figure.
What happens to an emergency call?
It is treated as urgent: earliest slot offered, and transferred to your mobile if it cannot wait. You can also take over a live call from the dashboard.
How long does setup take?
About three days. Day 0 we load your treatments, prices, hours and staff; day 1 your number and WhatsApp are live; day 2 we test together and hand over the logins.
