The ROI of an AI receptionist
Work it out with your numbers, not ours.
Most vendors show you a return built from their own assumptions. The only calculation that matters uses four numbers you already know, and it should be done before you talk to anyone - including us.
At a glance
| Step | What to write down | Example |
|---|
| 1 | Calls you miss in a normal week - after hours, Sunday, lunch, line busy | 12 |
| 2 | How many of those would have booked something | 5 |
| 3 | What one of those customers is worth to you on average | Rs 2,500 |
| 4 | Recovered in a month: step 2 x step 3 x 4 weeks | Rs 50,000 |
The break-even is smaller than people expect
At Rs 7,000 a month, the plan pays for itself the moment recovered bookings clear that figure. For a dental clinic that is roughly one root canal. For a salon, one bridal package. For a coaching institute, a single admission covers many months. For a broker, one site visit that becomes a deal covers years.
Where the estimate usually goes wrong
People underestimate step 1, because a missed call leaves no trace. There is no record of the person who rang at 9 pm, got nothing, and dialled the next business. If you have never counted, count for one week: the number of calls that ring out is usually the surprise.
- Check your phone's missed-call log for a full week, including Sunday
- Add the calls that reached a busy line - those never appear at all
- Google Business Profile shows how many people tapped Call
The case for not buying it
If you answer nearly every call already, this is not for you. If your step 4 number is below Rs 7,000, we would rather you did not buy it - a customer who does not save money churns in two months, which is worse for us than never selling.
How to prove it instead of modelling it
Run it for one month on your real number, then open the Appointments tab and count what it actually booked. No notice period and no exit fee, so the experiment costs one month.
Frequently asked questions
How quickly does it pay back?
Usually inside the first month, because the recovered bookings are ones you were already losing. If it does not, switch it off - there is no lock-in.
How do I know it was the AI that got the booking?
Every booking it makes is on the dashboard with the call transcript attached, so you can read the conversation that produced it.
What if my average customer value is low?
Then volume matters more than value - work step 2 carefully. Below Rs 7,000 recovered a month, do not buy it.
Do you have case studies?
We would rather you ran the one-month test on your own number than trusted somebody else's numbers.
