Where the consultation goes, step by step

Every step happens inside your clinic. Here is exactly where each piece goes, and what is deleted when.

A scribe handles the most private conversation in medicine. So instead of a badge, here is the whole path, in the order it happens, with what we can and cannot reach. You can check every step in your own clinic.

1. The recording

The clinic tablet records the consultation after the doctor confirms the patient’s consent for that visit. If a patient declines, nothing is recorded. The recording goes over your clinic WiFi to the clinic computer; if the WiFi drops, it waits on the tablet until the computer confirms it has it.

2. Transcription and the note, on the clinic computer

The computer we install in your clinic turns speech into text and drafts the note itself. No part of the consultation is sent to us, to a cloud server or to any AI company, and the internet is not needed at all.

3. The audio is deleted, and the deletion is logged

Once the consultation is transcribed, the audio is deleted, and the time and size of every deletion is logged where the doctor can see it. If the clinic chooses to, a sealed copy can be kept in an encrypted vault, readable only with the clinic’s own key, and erased after a set number of days.

4. What is kept, and where

The transcript and the signed note stay on the clinic computer, on an encrypted disk.

5. How the patient gets the note

Print it on your letterhead or pre-printed pad, or send the signed PDF from the clinic’s own WhatsApp on the clinic tablet, only when the patient asks for it.

How we check that nothing leaves

A promise is only as good as the test behind it. We run a whole consultation on the clinic computer - speech-to-text in English and Hindi, separating who spoke, writing the note and making the PDF - and record every connection any part of it tries to make. It must report that nothing left the computer, and we run it after every installation and every update. The first time we ran it, it found two things: a speech-model library checking the internet for updates, and another library sending anonymous usage statistics to its makers. Neither sent any audio or text. Both are now switched off, and the check comes back clean.

What FrontivaAI can reach, and what it does not do

We keep a private, encrypted link to the clinic computer to install updates and restart the app. We do not open notes. The app needs your clinic’s passphrase, and nothing from the consultation is copied off the computer.

Frequently asked questions

Does the audio go to the cloud?

No. It is transcribed and the note is written on a computer installed in your clinic. The audio is deleted once it is transcribed, and every deletion is logged.

Does it diagnose or prescribe?

No. It writes up what was said. You review, correct and sign every note; nothing is filed without your signature.

What if a patient does not want to be recorded?

Tap “Patient declined” and nothing is recorded. You can dictate a short summary yourself after the patient leaves, and the note is marked as dictated.

Can FrontivaAI see our notes?

We do not open them. Notes are kept on the computer in your clinic, and the app opens only with your clinic’s passphrase. Our private, encrypted link to that computer exists to install updates and restart the app, not to read notes.

What happens if the power or the WiFi goes?

The clinic computer runs on a UPS, so a short power cut changes nothing, and in a long one it shuts down cleanly and starts again when power returns. If the WiFi drops, a recording waits on the tablet until the clinic computer confirms it has it. The internet is never needed.

What happens to our notes if we stop?

They are yours. Signed notes can be printed or saved as PDFs at any time, and the nightly encrypted backup is on a drive in your clinic. Before the computer leaves, we hand over that backup and its key.

How do we stop the service?

The two-week pilot comes first, with no obligation if the agreed success measure is not met. The service agreement states the minimum term and the notice period in plain words before you sign; ask us for it during the demo.

How is it updated?

We install updates over a private encrypted link, outside clinic hours. Nobody at the clinic has to do anything, and an update never touches your notes.

How Clinic Scribe works, or book a demo in your clinic.

₹15,000 a month per doctor plus GST: about ₹580 a working day, or under ₹20 a patient at 30 patients a day. The computer, microphone and tablet are included, and the first two weeks are free.
